Reservation Policy

This Reservation Policy establishes the conditions and procedures applicable to reservations made for tours, excursions, travel packages, transportation, accommodation, and other services offered by Royal Amazonia. By requesting or confirming a reservation, the client acknowledges and accepts this policy together with Royal Amazonia’s Terms and Conditions and other applicable policies.

1. Reservation Requests

Clients may request a reservation through the official communication channels provided by Royal Amazonia, including the website, email, messaging services, or other authorized channels. A reservation request must contain sufficient information to allow Royal Amazonia to verify availability and prepare the corresponding booking.

2. Information Required for Reservations

Depending on the services requested, clients may be required to provide information such as full name, nationality, passport or identification details, travel dates, number of travelers, accommodation preferences, contact information, emergency contact details, and other information necessary to organize the trip.

3. Accuracy of Information

The client is responsible for ensuring that all information provided during the reservation process is accurate and complete. Errors in names, passport details, travel dates, or other relevant information may result in additional costs, service limitations, or difficulties with reservations and entrance tickets.

4. Availability

All reservations are subject to availability at the time of booking. A request, quotation, or preliminary itinerary does not guarantee that the requested services will remain available until the reservation has been formally confirmed by Royal Amazonia.

5. Reservation Confirmation

A reservation becomes confirmed once Royal Amazonia has verified the availability of the requested services, received the required payment or advance payment, and issued a booking confirmation or other written confirmation to the client.

6. Provisional Reservations

In certain circumstances, Royal Amazonia may allow a service to be held temporarily while the client completes the required payment or provides pending information. Provisional reservations are subject to a specific validity period and do not constitute a final confirmation unless otherwise stated in writing.

7. Reservation Deadlines

Some services may require reservations several days or weeks before the intended travel date due to limited availability, entrance-ticket restrictions, accommodation requirements, transportation arrangements, or supplier conditions. Clients are encouraged to make reservations as early as possible, particularly during high-demand travel periods.

8. Special Requests

Clients may communicate special requests related to accommodation, meals, transportation, accessibility, dietary requirements, celebrations, or other aspects of the trip. Royal Amazonia will make reasonable efforts to accommodate such requests; however, special requests are subject to availability and cannot be guaranteed unless expressly confirmed in writing.

9. Accommodation Reservations

When accommodation is included, Royal Amazonia will arrange the accommodation specified in the confirmed itinerary or an equivalent alternative when necessary. Room types, occupancy, check-in and check-out conditions, and additional services are subject to the policies and availability of the respective accommodation provider.

10. Transportation Reservations

Transportation included in a confirmed itinerary will be arranged according to the service category and route specified in the booking. Clients must provide accurate information regarding their arrival and departure details when transportation is connected to flights, trains, or other scheduled services.

11. Entrance Tickets and Limited-Availability Services

Certain attractions, permits, entrance tickets, activities, or transportation services may have limited availability and specific booking conditions. Once such services have been purchased or confirmed on behalf of the client, they may be subject to the cancellation, modification, or refund conditions established by the corresponding provider or authority.

12. Changes Requested by the Client

Clients may request changes to a reservation after confirmation, including changes to travel dates, number of travelers, accommodation, transportation, or activities. All changes are subject to availability and may result in additional charges or penalties imposed by Royal Amazonia or third-party suppliers.

13. Addition or Reduction of Travelers

Requests to add or remove travelers from a confirmed reservation must be communicated as soon as possible. Adding travelers is subject to availability, while reducing the number of travelers may affect the total price and may be subject to applicable cancellation or modification conditions.

14. Name Changes

Any correction or change to a passenger’s name or personal information after confirmation must be reported immediately. Where tickets, permits, entrance passes, or other services have already been issued, name changes may not be possible or may involve additional charges.

15. Group Reservations

Group reservations may be subject to specific conditions regarding minimum numbers of travelers, payment schedules, availability, accommodation, transportation, and cancellation deadlines. These conditions will be communicated to the person responsible for the group reservation before confirmation.

16. Client Responsibilities Before Departure

Clients are responsible for reviewing their booking confirmation, itinerary, travel dates, meeting points, departure information, accommodation details, and other relevant instructions before the trip. Any discrepancy should be reported to Royal Amazonia immediately so that it can be reviewed and, where possible, corrected.

17. Late Arrival and Missed Services

Clients must arrive at the designated meeting points at the times indicated by Royal Amazonia. Failure to arrive on time may result in the loss of transportation, tours, activities, entrance tickets, or other services without entitlement to a refund, particularly when the service cannot be delayed or rescheduled.

18. Cancellation of a Reservation

Clients who wish to cancel a confirmed reservation must notify Royal Amazonia through an official communication channel. The financial consequences of cancellation will depend on the date of the request, the services involved, and the applicable Cancellation and Refund Policy.

19. Cancellation by Royal Amazonia

In exceptional circumstances, Royal Amazonia may need to cancel or modify a reservation due to operational issues, safety concerns, supplier availability, government restrictions, weather conditions, or other circumstances beyond its reasonable control. When this occurs, Royal Amazonia will seek to provide an appropriate alternative in accordance with the applicable circumstances and supplier conditions.

20. Unconfirmed or Incomplete Reservations

Royal Amazonia may decline, suspend, or release a reservation request when required information has not been provided, the required payment has not been received, the requested services are unavailable, or the booking cannot be completed under the applicable conditions.

21. Communication and Booking Documents

Royal Amazonia may provide booking confirmations, itineraries, payment information, vouchers, meeting instructions, and other travel documents electronically. Clients are responsible for reviewing these documents and keeping them available throughout their trip when necessary.

22. Third-Party Booking Conditions

Certain services included in a reservation may be subject to specific terms imposed by hotels, transportation companies, activity providers, entrance-ticket operators, or other third-party suppliers. Where such conditions affect the reservation, Royal Amazonia will communicate the relevant information to the client whenever reasonably possible.

23. No-Show

A client who does not appear for a confirmed service without prior notice may be considered a no-show. No-show reservations may be non-refundable and may not be eligible for rescheduling, depending on the conditions of the service provider and the applicable cancellation policy.

24. Acceptance of the Reservation Policy

By confirming a reservation with Royal Amazonia, the client confirms that they have read, understood, and accepted this Reservation Policy, together with the Terms and Conditions, Advance Payment Policy, Cancellation and Refund Policy, and any specific conditions communicated for the selected service.

25. Contact

For questions regarding reservations, availability, booking modifications, special requests, or travel documentation, clients may contact Royal Amazonia through the official communication channels published on its website.
